Privacy Policy

ZyntraHire ("we", "us", "our") operates the ZyntraHire recruitment platform and the website zyntrahire.com. This policy explains what data we collect, how we use it, and your rights. It is intended to align with India's Digital Personal Data Protection Act, 2023 (DPDP Act) and applicable IT rules.

1. Who is responsible for your data

For account holders (recruiters and organisations), ZyntraHire is the data fiduciary for account data. For candidate data uploaded by an organisation into its workspace, that organisation is the data fiduciary and ZyntraHire acts as a data processor on its behalf.

2. Information we collect

• Account data: name, work email, phone, organisation details, and login credentials.
• Candidate data: information you upload or that candidates share — resumes, contact details, work history, screening responses, and interview records.
• Usage data: how you use the platform (pages, features, device/browser), used to improve the product and provide support.
• Communications: WhatsApp, email, and call interactions facilitated through the platform.
• Billing data: processed by our payment partner (Razorpay); we do not store full card details.

3. How we use it

• To provide the ATS, screening, scheduling, communication, and reporting features.
• To power AI features (resume parsing, WhatsApp screening, AI calls, scoring) — processed to deliver the service you requested.
• To process payments, prevent fraud, and provide support.
• To improve and secure the platform.

4. AI processing

Certain features use AI models to parse resumes, conduct/transcribe screening conversations, and score candidates. Data sent to AI providers is used only to perform the requested task and is not used to train third-party models without your consent.

Voice notes on WhatsApp: if you are a candidate and send a voice note in a WhatsApp screening chat, it may be transcribed automatically (turned into text by a speech-to-text provider) so the screening assistant and the hiring organisation's recruiters can read your answer. The recording and its text are kept with that chat, in the hiring organisation's workspace, and can be played only by its own team. If you would rather not, type your answer instead.

5. Sharing

We share data only with sub-processors needed to run the service (e.g. cloud hosting, email/WhatsApp/voice providers, payments) under appropriate agreements, or where required by law. We do not sell your data.

Screening summaries for employers: if you are a candidate and were screened in a WhatsApp chat, the recruiter handling your application may share a short screening summary of your answers with the employer you applied to — scores for things like communication and relevant experience, an overall recommendation, and a few short quotes of your own words. A recruiter reviews it before it is shared. It never includes your phone number, email, address, PAN, Aadhaar or salary details, and it is never used to reject you automatically.

6. Data retention & deletion

We retain data for as long as your account is active. You can export your data anytime. After cancellation, data is retained for 30 days and then deleted, unless a longer period is required by law.

7. Security

Data is encrypted in transit and at rest, with role-based access controls. No method of transmission is 100% secure, but we follow industry-standard safeguards.

8. Your rights

Subject to applicable law, you may access, correct, or delete your personal data, withdraw consent, and raise grievances. Contact us to exercise these rights.

9. Grievance Officer

For privacy questions or grievances, contact our Grievance Officer at support@zyntrahire.com. We respond within the timelines required under applicable law.

10. Changes

We may update this policy and will post the revised version here with a new "Last updated" date.
